Refund & Cancellation Policy

This Refund & Cancellation Policy applies to Acadexa – Built For Modern Schools., a subscription-based School ERP and School Management Platform operated by Vardhman Creative Studio.

Acadexa operates under a Software-as-a-Service (SaaS) subscription model. By subscribing to or using the Platform, institutions agree to the terms of this Policy.

1. Subscription Cancellation

Educational institutions may request cancellation of their subscription by contacting us through the official support channels.

Cancellation requests should be submitted at least 7 days prior to the next billing or renewal date to avoid automatic renewal charges.

Failure to cancel before the renewal date may result in automatic renewal for the next applicable subscription term.

2. Refund Policy

Unless otherwise agreed in writing, subscription payments made for Acadexa services are generally non-refundable.

The following conditions apply:

  • No refunds shall be issued for partially used subscription periods, unused services, or early termination by the institution.
  • If a verified technical issue prevents reasonable access to core Platform services and remains unresolved for more than 15 business days, a prorated refund or service credit may be considered after internal investigation.
  • Approved refunds, if applicable, shall be processed within 7–10 business days to the original payment method, subject to banking or payment provider timelines.
  • Transaction fees, payment gateway charges, processing fees, setup fees, onboarding fees, implementation charges, and applicable taxes (including GST) are strictly non-refundable.
  • Refund eligibility is subject to verification, technical review, and final approval by Vardhman Creative Studio.

3. Free Trials & Promotional Offers

Free trials, demo access, or promotional offers are provided solely for evaluation purposes.

Once a paid subscription is activated, no refund shall be provided for any prior trial usage, promotional access, or subscription charges unless otherwise required by applicable law.

4. Chargebacks & Payment Disputes

Institutions are encouraged to contact our support team before initiating chargebacks, payment reversals, or banking disputes.

Unauthorized or fraudulent chargebacks may result in:

  • Immediate suspension or termination of services
  • Restriction of account access
  • Recovery actions, legal proceedings, or collection efforts where applicable

5. Force Majeure

Vardhman Creative Studio shall not be held responsible or liable for delays, interruptions, downtime, or inability to provide services caused by events beyond reasonable control, including but not limited to:

  • Natural disasters
  • Government restrictions or actions
  • Internet or telecommunications failures
  • Server outages or hosting provider failures
  • Cybersecurity incidents or attacks
  • Third-party service disruptions

6. Subscription Suspension & Termination

We reserve the right to suspend, restrict, or terminate services in cases including:

  • Non-payment of subscription fees
  • Violation of Terms & Conditions
  • Fraudulent activity or misuse of services
  • Unauthorized access or security concerns

7. Governing Law & Jurisdiction

This Policy shall be governed by and interpreted in accordance with the laws of India.

Any disputes arising under this Policy shall be subject to the jurisdiction of competent courts in India.

8. Modifications to Policy

We reserve the right to modify, revise, or update this Refund & Cancellation Policy at any time without prior notice.

Continued use of the Platform after updates constitutes acceptance of the revised Policy.
