Welcome to Acadexa – Where Academics Meet Excellence. These Terms & Conditions govern your access to and use of the Acadexa School Management System (“Platform”, “Service”). The Platform includes web applications, mobile applications, Student Web Portal, Teacher Portal, Admin Panel, Transportation Module, and any related digital interfaces. Acadexa is owned and operated by Vardhman Creative Studio.

1. Acceptance of Terms

By accessing or using the Platform (including web and mobile interfaces and transportation services module), you agree to comply with these Terms. If you do not agree, you must discontinue use of the Service.

2. SaaS Subscription Model

Acadexa operates as a subscription-based Software-as-a-Service (SaaS) platform. Schools subscribe on a monthly or annual basis under a separate agreement. Access to services, including the Student Web Portal, Transportation Module, and mobile applications, is subject to active subscription status.

3. User Roles & Responsibilities

The Platform may be accessed by:

  • School Administrators
  • Teachers and Staff
  • Students
  • Parents/Guardians
  • Transport Coordinators / Drivers (if enabled)

Users must provide accurate information and maintain confidentiality of login credentials. Unauthorized access or misuse of the Platform is strictly prohibited.

4. Transportation Module Disclaimer

The Transportation Module provides route management, vehicle details, pickup/drop scheduling, and optional GPS tracking (if enabled by the School).

  • Acadexa provides digital management tools only.
  • Actual transportation services are managed solely by the School.
  • Vardhman Creative Studio is not responsible for vehicle operations, driver conduct, delays, accidents, or transport-related incidents.
  • Location data accuracy may depend on third-party GPS providers and network availability.

5. Acceptable Use Policy

Users agree not to:

  • Use the platform for unlawful activities
  • Attempt to hack, disrupt, or damage the system
  • Upload harmful or malicious content
  • Misuse student, staff, or transportation data
  • Access web portals or transport modules beyond authorized permissions

6. Payments & Billing

Subscription fees must be paid as per agreed terms. Payments are processed through secure third-party gateways. Failure to pay may result in suspension or termination of access.

7. Refund & Cancellation

Refunds, if applicable, shall be governed by the Refund & Cancellation Policy published on our website. Unless otherwise agreed, subscription fees are non-refundable.

8. Intellectual Property

All software, web portals, mobile applications, transportation modules, branding, design, content, and technology associated with Acadexa are the intellectual property of Vardhman Creative Studio. Unauthorized copying or redistribution is prohibited.

9. Data & Privacy

Use of the Platform is also governed by our Privacy Policies (System, Teacher/Staff, Student/Parent). Schools act as data controllers for institutional and transportation data.

10. Limitation of Liability

Vardhman Creative Studio shall not be liable for:

  • Incorrect data entered by school users
  • Temporary technical interruptions
  • Losses arising from unauthorized access due to user negligence
  • Third-party service failures
  • Any transportation-related incidents, delays, or operational issues

11. Termination

We reserve the right to suspend or terminate access in case of violation of these Terms.

12. Modifications

We may update these Terms, features, pricing, portal structure, transportation services, or service availability from time to time. Continued use of the Platform constitutes acceptance of updated Terms.

13. Governing Law

These Terms shall be governed by and interpreted in accordance with the laws of India. Any disputes shall be subject to the jurisdiction of Indian courts.
